When Mailroom Equipment May Be Needed

By Steven Lyndhurst Smith

For a large corporation or business that has an extensive mail handling room, there might come a time when mailroom equipment may be needed in order to improve the efficiency of the room and its operation. There are many different kinds of equipment designed to handle mail and prices can vary greatly among equipment and the complexity of the mail operation in terms of workload processed.

There are two general categories of equipment that goes into a mail handling operation, and both are normally seen in any such operation in the business. First, mail receiving machines, is equipment for the processing and inspection of all mail and any parcels that come in throughout the day and even after hours. They range from letter openers that are manual all the way up to fully automated machines.

More involved and complex mail handling operations that may deal with packages that might have dangerous content within them might also have mail scanning machines. These particular types of equipment generally make use of certain kinds of high definition screens to to search for, scan and detect and then display the contents of just about any letter or parcel.

When it comes to the kinds of machines for handling incoming mail that might be needed, there are two factors that should be considered; the need for extensive security precautions when it comes to mail handling and also how heavy the volume of the mail will be that comes into the room. At the least, most such rooms will feature an automated letter opener. Occasionally, they may also have a scanner.

The other category seen in many mail handling rooms are machines meant to send out mail. With these, much of the mail that is intended for mail out his handled by automated processes. There are normally three kinds of machines in a mail handling room; labeling machines, an envelope processor and sealer and a tabbing machine that places an adhesive tab on parcels that are self-contained.

For mail sending machines such as an envelope sealer, prices for a fully automated unit can approach $5000. That's why such equipment is generally only seen in the largest of mail handling operations in many corporations. However, when one considers that the vast majority operation will be automated, the savings in terms of human resources needed to staff a mail handling operation can be high.

Mailroom equipment is one way for a company that has an extensive incoming and outgoing mail handling operation to cut back on redundant processes and also on the amount of people needed to staff such an operation. At the least, they can be employed elsewhere performing other much more vital tasks. It might also be that human resources for such an operation can be greatly reduced, which saves money.
