A cheap virtual office is pretty easy to start if you know what tools you'll need, where to look, and how to get some of them for free even. I've been running a small business now for the last two years. We started this company partly as a result of the bad economy, but also because it is truly a great small business. The business is Internet marketing. Now, if you think about it, Internet marketing is truly the epitome of a virtual company. The work that we do, obviously, requires Internet marketing skills, but more importantly, you need to know how to leverage Internet based tools. Another key component of Internet marketing is the ability to use resources that are not necessarily right next to you or in the same "office."
At a minimum, setting up a cheap virtual office starts with a computer, a phone or phone system and an Internet connection. If you plan to have more than one "worker", whether they are partners, employees or contractors, it's worth looking into a phone "system." There are plenty of ways to bring communications / phones into a company. In fact, many companies start off with just using their cell phones. But, other ideas include traditional single line landlines, voice over IP or even MagicJack, a simple product that plugs into your USB port on one end and into a traditional phone on the other.
Some of the necessary tools of a cheap virtual office include: a computer(s), Internet connection and a phone or phone system. The computer and Internet connection are pretty obvious. But the phone system may not be for the uninitiated. What do I mean?
After investigating about 10 different solutions, I finally settled on RingCentral. I feel that it is not only cost-effective, but also incredibly flexible and expandable. The cost? The cheapest version is only $9.95 per month. For that you get 100 minutes and 5 extensions. More on extensions later. I personally have the $49.99 subscription for unlimited monthly minutes, 10 extensions and a dedicated fax number that sends faxes to my email.
Since I've been using RingCentral, I've learned a tremendous number of tricks to make my team and myself more productive. For example, you can either set up the system to auto answer with a personalized automated greeting OR have the call picked up immediately by a live attendant. Either way, the caller can then be prompted for an employee, extension or to just leave a voice mail message.
We use this product on a daily basis. We've customized it with our clients' music on hold songs, custom greetings, special extensions and more. On my personal blog "RingCentral Tips", I will give you tips on how to make the best of the virtual PBX solution. I also plan to give out more tips on some great free and paid cheap virtual office products which can help you save money and allow you to grow virtually.
As I explained I'm an Internet Marketer and yes, I am an affiliate for this product. But, I am also a huge small business proponent and want to help other small business owners become successful. If you visit my site, I share more tips with you about how to create a cheap virtual office and plan to reveal even more tools that we use to keep expenses low, stay competitive and make money.
